Organizational Unit Overview
Laupus Health Sciences Library provides information services and resources in direct support of ECU’s Health Sciences Colleges and Schools, and all students, staff, and faculty therein. Laupus Library also provides expert consultations with professional librarians and staff for a variety of information, research support, and instructional support needs.
The Laupus Health Sciences Library Access Services department is responsible for overseeing the circulation of Laupus Library materials, operates a reserve collection for course support, maintains, manages, and circulates the library’s audiovisual collection including videos, audio cassettes, anatomical models, slides, charts, microfilm, etc.
Job Duties
Handling requests for Interlibrary Loans and Document Delivery, including: receiving requests via telephone, letter, ALA request form, FAX, e-mail or through OCLC Interlibrary Loan subsystem or DOCLINE Interlibrary Loan subsystem and ranking them in priority order, based on a complex set of guidelines and judgments.
Verifying citations for requested materials and preparing items for loaning, including: retrieving items from the collection, photocopying and/or scanning; charging out materials, handling accounts receivable and preparing orders for packing and shipping via the University Library mail room.
Borrowing and Document Delivery items requested by patrons, including: verifying requested items are unavailable on the Main Campus, identifying sources for requested materials, completing the requests via appropriate means, processing the incoming materials, notifying the patron that materials have arrived and returning the materials to the loaning organizations and handling accounts payable (in absence of co-worker).
Renewals, Recalls, and Over dues. Requests for renewals are received, evaluated and either approved, conditionalized, or denied. Recall notices and overdue notices are created, recorded, and sent to borrowers.
Serving as the primary liaison with the Interlibrary Loan department of Joyner Library and all other University, Medical, Research, Hospital, AHEC libraries, etc., for Document Delivery, Borrowing, Lending or recall issues.
Performing all Loaning, Borrowing, and Document Delivery functions in accordance with all applicable copyright laws.
Recording and compiling Interlibrary Loan and Document Delivery statistics and providing monthly and annual statistical reports, using the current database and spread sheet applications.
Processing overdue notices.
Maintaining the ILL/ Document Delivery policies/fees and sending requests for updates on website as needed. Designing and maintaining projects relating to the automation of the ILL/ Document Delivery Department’s operations.
Communicating with Collection Services regarding resource holdings and permissions.
Service Desk: Provide excellent customer service while assisting patrons at the library Service Desk. Assistance may include but is not limited to checking library items in and out of circulation, basic clerical work, answering telephones, troubleshooting basic computer or software questions and/ or problems which may frequently require going to help patrons at the computer workstations in the Reference area, accepting payments for fines or fees for services, providing basic assistance for patrons in need of finding books, renewing library checked-out materials, accessing research databases and other online library resources. Provides general reference assistance and refers patrons to the appropriate liaison when necessary.
Minimum Education/Experience
High School diploma or equivalency and two years of experience in library services, office support, or related field; or equivalent combination of training and experience.
Preferred Experience, Skills, Training/Education
Completion of a bachelor’s degree; proficiency with Microsoft Office; ability to follow established procedures, ability to enforce rules and perform work requiring considerable detail and accuracy; two years of library work experience; knowledge of library series and systems such as Symphony and ILLiad; ability to supervise student employees; demonstrated ability to communicate effectively in oral and written form; ability to establish and maintain positive working relationships with library users and library personnel; ability to work consistently and reliably.
